3. AGE REQUIREMENT
3.1 You may only purchase Products from our site if you are at least 18 years old.
3.2 The Products on our site can only be purchased if you satisfy the legal age requirement for that product. We are not allowed by law to supply these Products to you if you do not satisfy these age requirements. If you are underage, please do not attempt to order these Products through our site.
3.3 We may ask for ID upon delivery to prove you are 18 or over
4. PROCESSING YOUR ORDER
4.1 Our shopping pages will guide you through the steps you need to take an order with us. Our order process allows you to check and amend any errors before submitting your order with us. Please take the time to read and check your order at each page of the order process. After you place an order, you will receive an email from us to acknowledge that we received your order. However, please note that this does not mean that your order has been accepted. Our acceptance of your order will take place as described in
Clause 4.2
4.2 We will confirm our acceptance to you by sending you an email that confirms that the Product(s)s have been dispatched (“Processing Order“). The Contract between us will only be formed when we send you the confirmation. You are entitled to amend your order after it has been placed but before the process order email is sent. IF you wish to amend your order please e-mail hello@loxwoodmeadworks.com
4.3 If we are unable to supply you with a Product, for example because that Product is not in stock or no longer available or because we cannot meet your requested delivery date or because of an error in the price on our site, we will inform you of this by e-mail and we will not process your order. If you have already paid for the Products, we will refund you the full amount including any delivery costs charged as soon as possible.
4.4. Shipping Policy
4.4.1 We only deliver within mainland UK only (excluding Highlands & Islands of Scotland, Northern Ireland, Isle of Man and Isle of Scilly).
4.4.2 For standard delivery, our aim is to provide you with your purchases within 2-3 working days (Monday – Friday, excluding bank holidays).
4.4.3 For express delivery, our aim is to provide you with your purchases next day. This applies to all orders purchased before midday (Monday – thursday, excluding bank holidays)
4.4.4 Large volume orders may be subject to additional delivery shipping charges. This will be discussed with you prior to your order being dispatched
4.4.6 We use Parcelforce Worldwide for all deliveries. ID may be asked for upon delivery and a signature will be required.
4.4.7 We will always try our best to ensure that these delivery times are met, but cannot be held responsible if orders are delayed due to third party issues. For example, bad weather conditions or courier problems.

4.5 Returns Policy
4.5.1 We strive to provide you with products that are of a high quality but if for some reason the product appears to be faulty, you must inform us by email within 7 days of receiving the product that there is an issue.
4.5.2 If you receive the product broken or unable to be consumed, we will replace the goods at an expense of only delivery charges (standard only).
4.5.3 We do not accept returns.
4.5.4 You are unable to cancel orders once shipped. If there are errors with your order, for example, a wrong number of bottles purchased, we will try our best to assist you within reason.

At Loxwood Meadworks, our Due Diligence Code of Conduct (DDCOC) embodies the core principles and values that guide our decisions regarding the purchase and supply of alcoholic products. It serves as our commitment to knowing our customers and suppliers while ensuring that every transaction aligns with our standards of integrity and responsibility.
We believe that a strong supply chain is built on transparency and trust. Our DDCOC is designed to prevent any engagement with illicit customers or suppliers, allowing us to maintain the highest standards in our business practices. To this end, we regularly review all our partners to quickly identify any changes in their activities and take appropriate action.
Guidelines for Customers and Suppliers
To foster a responsible trading environment, we require all customers and suppliers to provide specific documentation and complete a set of questions for a thorough risk assessment before opening an account. Only those who successfully pass our risk assessment will be eligible for trade with Loxwood Meadworks.
Additionally, we have established a strict policy for payment methods: we only engage with suppliers who accept payment via bank transfer. Cash payments are not permitted.
Our designated Accounts Officer or another authorized team member will meticulously review all submitted information, with Danny Bacon overseeing the final sign-off. If a customer or supplier does not meet our risk assessment criteria, all transactions will be halted immediately pending further review. If the review yields unsatisfactory results, the account will be closed indefinitely.
Regular reviews of customer and supplier information will be conducted, with oversight from our Accounts Officer and final approval by Danny Bacon. All checks and reviews will be documented in the respective files, and reminders for ongoing assessments will be logged to ensure diligence.
Implementation and Training
The DDCOC will be maintained by Danny Bacon, who will also oversee all related training. New staff members will undergo comprehensive training on our DDCOC to ensure they are well-versed in our procedures. Daily checks will be implemented to identify any transactions that may raise red flags, particularly regarding fraud or evasion of duty. Key areas for daily scrutiny include purchase order processing and customer orders.
Supplier Due Diligence Policy
As part of the Alcohol Wholesaler Registration Scheme (AWRS), Loxwood Meadworks conducts essential due diligence checks on our supply chain partners. We kindly request the following documentation from suppliers:
- Company introduction outlining the nature of your business
- Completed AWRS Supplier Form
- Copy of your Incorporation Certificate
- Copy of your VAT Certificate
- Latest filed accounts
- Money Laundering Certificate, if applicable
- Owner/Director/Proprietor ID details
- Company bank details
- AWRS number (if issued) for UK-based suppliers
- Recent business utility bill (less than 3 months old)
- Headed paper with Director’s signature
- Proof of due diligence practices
- For UK duty-paid suppliers, copies of form W-5 or similar, demonstrating duty payment
Once this information is received, a qualified team member will evaluate the supplier’s overall risk. If a supplier is deemed high risk, further questions and site visits may be conducted as needed. Any suspicious retail pricing or improper trading patterns will be reported to HMRC promptly.
High-risk suppliers will undergo reviews every three months, while all other suppliers will be reviewed annually. Loxwood Meadworks representatives will also visit supplier premises to verify business records.
Customer Due Diligence Policy
To register for trade, retailers must provide the following documentation:
- Copy of your Incorporation Certificate
- Copy of your VAT Certificate
- Company bank details
- Owner photo ID (passport or driving license)
- Recent business utility bill (less than 3 months old)
After collecting this information, we will conduct necessary checks before opening your account. Payment methods accepted include cash (for onsite sales only), card, or bank transfer; we do not accept cheques. Cash transactions will comply with Money Laundering Regulations.
For wholesalers looking to open an account, we require the following documents:
- Copy of your Incorporation Certificate
- Copy of your VAT Certificate
- Company bank details
- Owner photo ID (passport or driving license)
- Recent business utility bill (less than 3 months old)
- AWRS URN
- Business address photograph, if applicable
Once this information is gathered, a qualified team member will complete a risk assessment. Customers identified as high risk will undergo further questioning, with high-risk customers being re-evaluated every three months. All other customers will be reviewed annually.
Customers who do not meet our internal checks will be informed that their accounts cannot be opened, and any suspicious behavior will be reported to HMRC without delay.
